How joining a farm works

What is an invite code and what is it for?

An invite code is a short code of 8 letters and numbers, for example K7QF-3MPX. The farm creates it in the app and sends it to the person it wants to invite. That person enters it in their own app and joins the farm’s stable. From then on both see the same information – each of them as much as the farm allows.

Who can the farm invite?

When creating the code, the farm picks one of three roles:

  • Horse owner – someone whose horse is kept at the farm. They see only their own horses.
  • Ranch worker – a groom or another member of staff. They see all horses, tasks, events, feeding and the feed stock.
  • Professional – a vet, farrier or trainer. They see all horses, their health, feeding and medication, tasks and events.

The role is always chosen by the farm. The invited person doesn’t pick it.

Does joining cost anything?

No. Inviting and joining are free, and the invited person doesn’t need any subscription.

What do I need to join?
  • an iPhone with the iPalomino app from the App Store (an Android version is on the way),
  • an Apple ID to sign in – your account is created automatically, there’s nothing to fill in,
  • an internet connection while joining,
  • an invite code from the farm.
Do I need my own farm or my own animals in the app?

No. If you join with a code, you don’t have to set up your own stable or animals. Once you enter the code, the farm’s stable opens right away. You can add your own stable later if you want to.

How many people can a farm invite?

As many as it likes. There’s no limit on the number of invited people or invite codes.

For farms: how to invite people

How do I invite a horse owner?
  1. In the app, open the Animals tab and tap their horse.
  2. Under Owner, choose Client’s.
  3. Tap Invite the horse owner to the app. The Horse owner role and this horse are already selected.
  4. Tap Create an invite code.
  5. Tap the share icon next to the code and send it to the owner, for example by text message or WhatsApp. Instructions on what to do are added to the message automatically.

If the owner has more horses at the farm, tick all of them under WHICH HORSES? before you create the code.

How do I invite a groom, vet or farrier?
  1. Tap the person icon in the top right corner – Settings opens.
  2. Next to your stable, tap Invite people with a code.
  3. Under WHO ARE YOU INVITING?, choose Ranch worker or Professional.
  4. Tap Create an invite code and send the code using the share icon.
How long is a code valid and how many times can it be used?

A code is valid for 7 days and can be used only once, so for one person. To invite more people, create a separate code for each of them. You can cancel an unused code at any time with the cross next to it.

Where can I see who is connected to my stable?

In Settings, tap Invite people with a code next to your stable. At the bottom, under PEOPLE WITH ACCESS, you’ll find every connected person with their name, role and the date they joined, and for horse owners also their horses. You also get a notification when someone joins.

Can I add another horse for a horse owner?

Yes. Create a new code for the Horse owner role, tick the other horse and send them the code. Once they enter it, the new horse is added to the ones they already see.

What can invited people not do?

No invited person can delete an animal, change the stable’s settings or invite other people. They can delete only the events, tasks and health records they added themselves. As the farm, you can edit or delete anything.

How do I remove someone’s access?

In Settings, tap Invite people with a code next to your stable, then under PEOPLE WITH ACCESS tap Remove next to the person and confirm. Their access ends immediately and they get a notification. Everything they added to your stable stays with you.

For horse owners

I got an invite code. How do I join?
  1. Download the iPalomino app from the App Store.
  2. Sign in using the Apple sign-in button. Your account is created automatically, there’s nothing to fill in.
  3. On the first screen, tap I have an invite code at the bottom.
  4. Enter the code – capital or small letters and the dash don’t matter – and tap Join.
  5. Done. The farm’s stable opens with your horse.

If you already use the app, enter the code in Settings under I have an invite code and want to use it to join a farm/ranch.

What will I see once I join?
  • your horse’s profile,
  • its health – vaccinations, deworming, treatments and weight,
  • feeding and medication,
  • documents and, for a mare, breeding records,
  • events and tasks that concern your horse,
  • tasks the farm has assigned to you,
  • feed and contacts linked to your horse.

You don’t see the farm’s other horses or events for the whole stable.

What can I do in the app?

You can edit your horse’s profile and add or change health records, feeding and medication, documents, feed, events and tasks. Everything you add has to concern your horse. You can delete only the events, tasks, health records, feed and documents you added yourself. You can’t delete the horse – only the farm can do that.

Will the farm see an event or task I add?

Yes, if you add it for your horse in the farm’s stable. The farm sees it in its calendar together with your name and gets a notification, for example “New event: Farrier – Bella”. If you add the event to your own stable, the farm won’t see it.

How do I add an event so the farm can see it?
  1. Open the Calendar and tap New.
  2. Choose New event or New task.
  3. Under Applies to, check that your horse from the farm’s stable is selected. The app usually selects it for you.
  4. Fill in the rest and save.

In the farm’s stable you don’t have the Whole stable option – the event has to belong to your horse.

Will I see events the farm adds?
  • an event for your horse – yes, with a notification,
  • an event for several horses including yours – yes, but you’ll see only your horse in it,
  • an event for the Whole stable – no,
  • a task the farm has assigned to you – yes, even if it doesn’t concern your horse.

The farm’s events appear in your Calendar together with your own.

My horse is also in my own stable. Will they be merged?

No. The horse you see in the farm’s stable is the farm’s record. If you also have the same horse in your own stable, it will be in the app twice and information isn’t copied between them. You share only the horse in the farm’s stable with the farm, so record everything there.

Can I be connected to several farms at once?

Yes. Each code adds another stable. In Settings, tap a stable to choose the one you’re working with. The calendar shows events from all stables at once.

What happens when I leave the stable or the farm removes my access?

You can leave a stable in Settings by tapping Leave stable. Whether you leave yourself or the farm removes you, your account keeps a copy of your horse with all its records – profile, health, documents, feeding, tasks and events. It’s saved to your own stable, and if you don’t have one, the app creates a stable called My horses. This copy no longer syncs with the farm.

For grooms, vets, farriers and trainers

I’m not a horse owner and I don’t have an account. Can I join?

Yes. The steps are the same as for a horse owner: download the app, sign in with Apple, tap I have an invite code, enter the code and tap Join. You don’t have to set up your own stable or animals. What you see depends on the role the farm gave you in the code.

What can a ranch worker see and do?

They see all horses in the stable, their health, feeding and medication, tasks, events, breeding, the feed stock and contacts. They can add health records, events and tasks and update the feed stock. They can delete only the events, tasks and health records they added themselves.

What can a professional – a vet, farrier or trainer – see and do?

They see all horses in the stable, their health, feeding and medication, tasks, events and breeding. They don’t see the feed stock or contacts. They can add health records, medication, events and tasks. They can delete only what they added themselves.

Can I work for several farms?

Yes. Each farm gives you its own code and each one appears in the app as a separate stable. The calendar shows events from all of them at once, so you have all your clients in one place.

What happens when I leave a stable?

The stable and its animals disappear from your app. Everything you added to it stays with the farm.

Events, tasks and the calendar

How does the farm assign a task to a specific person?

When creating a task, the farm taps the name of a connected person under Or pick someone from the stable. That person sees the task in their calendar and gets a notification “New task for you”.

How soon will the other side see a change?

A change is sent as soon as you save it, if the phone is online. The other side gets it:

  • as soon as their notification arrives,
  • when they open the app,
  • every 5 minutes while they have the app open.
What if two people edit the same event at once?

The change made later wins.

Does it work offline?

You can use the app without signal and your changes are saved on the phone. They’re sent to the server once you’re back online. To join with a code, though, you need an internet connection.

Notifications

When will I get a notification?

When someone else changes something you can see – for example adds, moves, cancels or completes an event or task, adds a health record or changes medication. A horse owner gets notifications only about their own horse.

You don’t get notifications about changes you make yourself. When several things change at once, you get one summary notification “Updates in the stable”.

A groom was given a task for my horse. Why didn’t I get a notification?

When a task is assigned to a specific person, only that person and the farm get a notification. You still see the task in your calendar.

How do I turn off notifications I don’t want?

In Settings, under Notifications, turn off what you don’t want: Medication & dosing, Tasks, Calendar events or Health.

Privacy and security

Who can see my information?

The stable’s information belongs to the farm. Invited people see only what their role allows, and a horse owner only their own horses. Other horse owners can’t see you. The server checks every change, so nobody can get to information they don’t have access to.

What happens if the farm deletes its stable or closes its account?

Everyone connected loses access and gets a notification. A horse owner keeps a copy of their horse with all its records in the app.

When something isn’t working

The app says “This code isn’t valid or has expired”.

The code has already been used, 7 days have passed, the farm cancelled it, or there’s a typo. Check the characters, and if that doesn’t help, ask the farm for a new code.

The app says “This code is for your own stable”.

You created the code yourself for your own stable. Send it to the person you want to invite – they enter it on their own phone.

The app says “Too many attempts”.

You entered a code too many times in a row. Wait a minute and try again.

The farm can’t create a code – the app says the stable hasn’t been backed up yet.

The stable hasn’t been saved to the server yet. Connect the phone to the internet, wait a moment and try again.

I’m connected, but I can’t see a horse or an event.
  • Are you a horse owner? You see only the horses the farm ticked in your code. If one is missing, ask the farm for a code for that horse too.
  • A horse owner doesn’t see events for the Whole stable – the farm has to add them for your horse.
  • If you’re connected to several stables, check in Settings which stable is selected.
  • Open the app with an internet connection and wait a moment for the information to download.
Notifications don’t arrive.

Check that iPalomino is allowed to send notifications in your iPhone’s settings and that they’re turned on in the app in Settings under Notifications. You don’t get notifications about changes you make yourself.

Your whole ranch in one pocket.

iPalomino is now on the App Store. Download the app and try it in your own stable. An Android version is in development.
